The first column displays a visual indicator of the current status of the fulfillment request.

Transaction Date

The Transaction Date is the date and time the Fulfillment Request was created.

Receipt Number

The Receipt Number is the tracking number associated with the Fulfillment Request. This number is created when the system creates the Fulfillment Request. The number is based on the store abbreviation and register of the Sales Request location.

Store

The Store is the location where the Sales Request was created.

Fulfillment Location

The Fulfillment Location is the "store" where the associated sales request is filled.

Entered By

Entered By is the individual or system process that created the fulfillment request.

Fulfillment Type

The Fulfillment Type specifies how the sales order will be fulfilled.

Request Status

The Request Status is the current status of the Fulfillment Request. See Fulfillment Request Statuses.

Account Number

The Account Number is the subscriber's account number in CostGuard.

Customer Name

The customer's name as it appears on the account.

Register

The unique identifier of the register where the transaction took place.

Reference Number

The Reference Number on a Fulfillment Request is the distributor's tracking number.

Reason

The Reason is the Discount Reason associated with the item, if applicable.

Note

The Note is supplementary information added to the fulfillment request.

Associate / SC

The name of the sales associate or sales channel that performed the transaction.

Order ID

The Order ID is number of the order associated with the fulfillment request.

Order State

The Order State is the stage the order has reached in its execution plan. Order States are set up in Admin Console under Data Management.

Last Modified

Last Modified is the most recent date and time the fulfillment request was changed.

Last Modified User

Last Modified User is the individual or system process who most recently changed the fulfillment request.

You can perform the following actions on a selected Transaction:

Fulfillment opens a submenu relating to Fulfillment Requests. From here you can choose to

View Fulfillment Requests opens the Fulfillment Request Search Results window displaying only the Fulfillment Requests related to the selected Sales Request. (More)

Set Status To

Set Status To lets you change the status of the Sales Request to either Paid in Full or Fulfillment Pending, depending on its current status.

Note:

Set Status To is not available for Sales Requests with a status of Completed, Canceled, Incomplete, Fulfillment In‑Progress, or On Hold.

Send to Fulfillment

Send to Fulfillment changes the Sales Request Status to Fulfillment In Progress and adds the Fulfillment Request to the file to be sent to the fulfillment location.

Note:

If your company sends Fulfillment Requests to a third party location manually, you must tell the system this has been done. Selecting "Send to Fulfillment? displays the Third-Party Fulfillment window. You must complete the information in the window before the Sales Request status is changed to Fulfillment In Progress

Fulfillment Shortage

If some items in a Sales Request cannot be shipped, Fulfillment Shortage lets you complete that Sales Request and refund the money for the unshipped items to the customer. Fulfillment Shortage is available only if the Sales Request status is Fulfillment In‑Progress.

  1. Right-click the Sales Request and select Fulfillment > Fulfillment Shortage. This displays a confirmation box.

  2. Click Yes. This opens the Tender window with the amount to be returned to the customer in the Tender Amount field.

  3. Click the tender type used to return the amount to the customer.

  4. Click Finalize. This displays a confirmation box.

  5. Click Yes. This changes the status of the Sales Request to Completed and Cancels the request for the missing items in the Fulfillment Request.

    Note:

    If a third party location fulfills your company's requests, a message box reminds you to notify that location of the shortage.

    What happens when some items in a Sales Request cannot be shipped:

  • The status of the original Fulfillment Request (A) changes to Shipped.

  • A second Fulfillment Request (B), with a status of Submitted, is created containing the Unshipped items.

  • A Fulfillment Sale (C) transaction, with a status of Completed, is created containing the Shipped items.

  • When you select Fulfillment Shortage on the Original Sales Request, its status changes to Completed.

  • The status of the second Fulfillment Request (B), for the unshipped items, changes to Canceled.

  • A Return (D) transaction, with a status of Completed, is created for the unshipped items.

    You can view the various transactions on the POS tab on the customer record.

Reports

Currently there are no reports available.

View Customer - View opens the customer record on the Orders tab.

View Order

View Order opens the Order Search Results window for the customer.

The Order Search Results window displays basic information about the order associated with the transaction.

Resume Order

If a Sales Request has a status of On-Hold, Resume Order opens the Make Sales Request window for that selected transaction. This lets you continue working with that sales request. See Selecting Catalog Items.

If a Sales request has a status of Incomplete, Paid in Full or Fulfillment Pending, Resume Order opens Edit Order Wizard for the selected transaction. This lets you make changes to the Order, but not the Sales Request. In this case, you would need to create a new Sales Request to make changes.

The lower portion of the window lists the Transaction Details of the transaction selected in the upper portion and all the details' related statistics.

Receipt Number

The Receipt Number is the tracking number associated with the Fulfillment Request. This number is created when the system creates the Fulfillment Request. The number is based on the store abbreviation and register of the Sales Request location.

Item Number

The Item Number is the line number of the associated item as displayed on the POS tab of the customer record and as it appeared on the Make Sales Request window.

SKU

The SKU is the identifier of the item type as defined in CostGuard's Product Catalog.

Description

The Description of the item as defined in the Product Catalog.

Service Number

The service number is the MDN associated with service being provided.

Quantity

The quantity is the number of items of the related SKU purchased, such as four batteries.

Unit Price

The unit price is the amount charged for one item of the related SKU.

Billed Amount

The Billed Amount is the amount charged to the customer at billing time, such as Calling Plans and Caller ID.

Extended Price

The Extended Price is the total amount charged for the line item calculated by multiplying the Unit Price by the Quantity purchased.

Serial Number

The Serial Number is the unique identifier of the handset or SIM card.

Reason

The Reason is the Discount Reason associated with the item, if applicable.

Note

The Note column displays notes added to the Fulfillment Request on the Edit Fulfillment Request window.
