Restricting the Sale of Catalog Items

The IDI platform lets you restrict users from adding certain Product Catalog items to an order via the Find Catalog Item tool in the POS Front Office Make Sale or Make Sales Request wizard. This has two basic advantages:

  • Maintaining the integrity of guided orders configured via the Guided Assignment feature. This ensures orders start at the intended location and items are added in the proper order.

  • Preventing the sale of discontinued or restricted items. This may be necessary when you have products that are no longer available for sale to the general public, but may need to be available for a limited customer group (for example, an expired plan which may be sold to subscribers who have had service since before a certain cut-off date).

    Two methods are provided for imposing this restriction:

  • First, you can mark certain catalog items as restricted. When you create a new catalog item, the add item window has a check box to let you specify whether or not to restrict this item for certain users.

    When an item is restricted, only users granted Find Catalog Item > Restricted Items > Assign permission will be allowed to add that item to a Make Sale or Make Sales Request order using the Find Catalog Item tool.

    Users not having this permission are still permitted to add restricted items when they are presented in one of the folders included in the guided order.

  • The IDI platform also lets you restrict users from using the catalog item search tool in the Make Sale/Make Sales Request wizard. When this restriction is imposed (Force Exact Match permission enabled), users are required to enter specific SKUs into the Find a Catalog Item field.

    Users who are granted Find Catalog Item > Restricted Items > Assign permission can add both restricted and non-restricted items to an order. When a user who is not granted this permission attempts to assign a restricted item, one of following occurs depending on whether or not Force Exact Match permission is enabled:

  • If Force Exact Match permission is enabled, the "Invalid SKU" error message is displayed. In this case the user must enter a specific, non-restricted SKU (or other permitted criteria) in the Find Catalog Item field. Any other entry (wildcard, restricted SKU, unavailable SKU or no entry) will result in the "Invalid SKU" message.

  • If Force Exact Match permission is disabled, the Catalog Item Search window is displayed. This window will display both restricted and non-restricted items. However, if the user tries to assign a restricted item, a message will be displayed with the option to have a manager override the restriction to assign the item.

Setting Up Permissions

This is done in the Admin Console Security node. The following permissions control whether or not a user can add restricted catalog items to an order via the Find Catalog Items tool, and use the Make Sale/Make Sales Request wizard to search for catalog items:

  • Find Catalog Item > Restricted Items > Assign - This grants the user permission to assign restricted items to an order via the Find Catalog Items tool.

  • Find Catalog Item > Restricted Items - This grants the user permission to use the Find Catalog Item search tool in the Make Sale or Make Sales Request wizard. If the user is NOT granted Restricted Items permission, the window will filter out restricted catalog items.

  • Find Catalog Item > Force Exact Match - This denies the user permission to use wildcards or partial searches in the Find Catalog Item search tool in the Make Sale or Make Sales Request wizard.

    All three permissions must be defined separately for the Make Sale and Make Sales Request wizards. The respective paths are:
