Using the Overview Page

The Overview page has two views available via the View drop down menu.

UG template for Help

You can access this page from any location where the Workflow name is a link, such as My Workflows page or Workflow Search Results.

The view defaults to Workflow Overview. This view displays the status of a Workflow.

Workflow Overview View

  • Top of Page

    The top left of the page displays the name of the Workflow. The top right indicates the Status.

    • Green: In Progress

    • Dark Gray: Waiting

    • Purple: On Hold

    • Blue: Completed

    • Red: In Error

    • Light Blue: Cancelled

    Depending on the Status, the indicator provides drop down menu options for changing the status. See Starting/Pausing/Resuming/Cancelling a Workflow.

  • Gray Banner

    The right side provides buttons for:

    • Viewing the Dates Hierarchy UG template for Help. This page lets you keep track of key dates associated with a root workflow and all of the associated subworkflows. See Workflow Dates Hierarchy.

    • Viewing notes UG template for Help and adding notes UG template for Help. See Viewing/Adding Notes.

    • Opening the Layout Page UG template for Help. See Layout Page.

    The left side of the gray banner just below Workflow name provides pertinent Workflow information. Some of the fields let you toggle the presentation for the field. (More)

  • Status Information

    This section provides the task-related status information as applicable.

    Tasks Complete n of n

    Number of completed Tasks. This button displays the Task Search results page listing all the Tasks in the Workflow.

    The link opens the Task Search results page listing all Tasks in the current Workflow.

    Percent complete

    Percentage of Tasks completed.

    Excluded

    Percentage of Tasks excluded due to decision points within the Workflow.

    The link opens the Task Search results page listing all Excluded Tasks in the current Workflow.

    Completed

    Percentage of Tasks completed.

    The link opens the Task Search results page listing all Tasks with a status of Completed for the current Workflow.

    In Progress

    Percentage of Tasks currently in progress.

    The link opens the Task Search results page listing all Tasks with a status of In Progress for the current Workflow.

    Waiting

    Percentage of Tasks currently waiting to start.

    The link opens the Task Search results page listing all Tasks with a status of Waiting for the current Workflow.

    In Error

    Percentage of Tasks currently in error.

    The link opens the Task Search results page listing all Tasks with a status of In Error for the current Workflow.

    messages

    Messages pertinent to the workflow.

  • Upcoming Tasks

    This section indicates the number of Tasks that will be due within the following time periods: 4 hours, 8 hours, 12 hours, 24 hours, 7 days, and 14 days.

  • Activity

    This section provides a history of:

    • Workflow status changes

    • Notes added

    Clicking an item listed in this section displays Activity details.

  • Participants

    This section lists the tasks in this Workflow by participant. Each row indicates:

    • User Name of the Participant

    • Total number of Tasks in the Workflow assigned to the participant

    • Number of Tasks in the Workflow assigned to the participant with a status of:

      • In Progress

      • Completed

      • Waiting

      • In Error

      • Cancelled

    Clicking a link in any one of these columns' link opens the Task Search results page listing all Tasks, within the Workflow assigned to the Participant (for Total) or all Tasks that have the applicable status. From the Search Results you can navigate to the details for a selected Task, or the Overview for a selected Workflow.

Workflow Tasks View

When you select the Workflow Tasks view, initially only In Progress and In Error tasks for the workflow instance are listed. An informational message is displayed to indicate this, and a link is provided to Show All Tasks.

When you choose to show all tasks, the link changes to Show Current Tasks to let you return to the initial (In Progress and In Error) tasks view.

You can select the Workflow task view to be your favorite by clicking the heart icon next to the view selector. This changes the detault from Workflow Overview to Workflow Tasks. This uses the browser’s local storage and will retain the preference within a machine/browser for each user.

Sub workflows

When the workflow instance being viewed is the root, the full hierarchy will be displayed, showing the tasks under each child workflow instance. Note that when there are no tasks In Progress or In Error for the root or a child workflow instance, the workflow will be displayed with the text: No matching tasks found for this workflow.

The hierarchy can only be viewed from the root. If you select the Workflow Tasks view from any child workflow instance, only that child workflow instance’s tasks will be displayed. A partial hierarchy will not be displayed from a child workflow.
