Sending a Single E-mail Notification Manually

In order to manually send single e-mail notifications:

  • Send Notification must be enabled under Security > Profiles > Permission Profiles > Application > CostGuard Client > Customer Notification > Notification History in your Permission Profile.

  • Manual Email must also be enabled under Send Notification in your Permission Profile.

  • Enable Send Email must be enabled in Customer Notifications > Delivery Configuration in the Configuration Console.

    You can manually send a single e-mail notification to a specific customer from the Notifications tab on the Customer # window displayed for that customer:

  • Right-click anywhere within the Notifications tab's data table and select Send Notification > Manual Email.

  • Enter the required information as described below:

    To:

    From the drop-down list, select the e-mail address for the person you want to send this message to. The following information is provided with each e-mail address to help you select an e-mail address:

    • Unique e-mail address from the customer's Contact list.

    • Name of the person assigned to this e-mail address. If a name does not exist, the Company Name is used. If a Company Name does not exist, this portion is blank.

    • Indicator as to whether this e-mail address is a home account (home) or work account (work). If this information is unknown, this portion of the drop-down is blank.

      This defaults to E-mail 1 (defined in the customer's Primary Customer Contact). If one does not exist, all e-mail addresses for this customer's contacts are sorted into ascending alphanumerical order. The first e-mail address in the sorted list is used as the default.

      In the event there are no e-mail addresses for this customer's contacts, the following error is displayed when you click Send:

      NoContactEmailAddress

      Click OK to return to the Customer # window.
      To resolve this problem, define a contact e-mail address for this customer.

    From:

    From the drop-down list, select the e-mail address for the person designated to receive all replies to this e-mail message.

    This is not necessarily the person who sent the e-mail. This drop-down list is populated with the e-mail addresses specified in "Manual E-mail From Addresses" in Customer Notifications > Delivery Configuration in the Configuration Console. See Configuring Single Email Notifications for more information.

    If there are no e-mail addresses defined, the following error is displayed when you click Send:

    NeReturnEmailAddresses

    Click OK to return to the Customer # window, then contact your system administrator to resolve this problem.

    Subject

    Enter an informative subject. If you do not specify a Subject, the following message is displayed:

    NoSubject

    Click Yes to send the notification without a Subject.

    Click No to return to the Email to Customer window and enter a Subject.

    Email Message

    Enter your e-mail message.

    Note

    The Send button is disabled until you enter something in this field.

  • Click Send. This displays a confirmation window.

  • Click Yes to send the e-mail notification. This automatically logs the single e-mail notification in the Notifications tab on the Customer # window.

    The single email notification is also logged in the Notification History, which you can view via Applications > BackOffice Management > Customer Notifications > Notification History Batches.
