Working with Adjustments on Customer Accounts

Adjustments are additions or corrections to the amount a customer is charged for products and services. Use this feature to:

  • Correct or remove finance charges

  • Correct a charge that was billed at an incorrect rate

  • Charge the customer for a returned check

  • Enter foreign currency adjustments

  • Record other adjustments according to your company’s policies

    Notes:

  • Adjustments applied in this manner do not adjust taxes.

  • Specific permissions pertain to the following: Apply to Invoice Number, Apply to Invoice Category, Write Off.

    To work manually with individual accounts, use the Balances tab on the Customer window. This tab displays the Account Balance view by default. This view lets you add payment/adjustment transactions, track settlements, and otherwise manage these transactions.

    Adding

    When you enter a new adjustment on a customer account, the adjustment is posted immediately unless you choose to block the adjustment using the block adjustment check box in the Add Adjustment window.

    Write-offs

    Write-off adjustments can be the total amount due on an account, the amount of an invoice, or partial amounts. Write-off adjustments are applied to debt.

    Editing

    You may edit adjustments that have been blocked.

    Viewing

    Once an adjustment has been posted, it can no longer be edited; however, you may still view the adjustment details.

    Tracking Adjustment Allocation

    Once an Adjustment has been posted, you can see where the adjustment was applied (to which invoices and invoice categories).

    Moving

    You may need to move an adjustment when you've applied it to the wrong account. This reverses the transaction on the current account and applies an equivalent transaction on the new specified account.

    Reversing

    You may need to cancel an adjustment that has been applied incorrectly. This re-opens the items that were settled by the original transaction. The reverse transaction is added to the Posted Transactions list and the account balance is updated accordingly.

    Blocking/
    Unblocking

    When you enter an adjustment you have the option of blocking the adjustment to prevent the adjustment from being posted immediately (for example, if you need to investigate an issue before allowing the adjustment to go through). You may toggle the blocked status of an adjustment as required.

    Deleting

    Unposted adjustments may be deleted.
