List Basics

A List is a pre-configured set of data values of a selected type (Integer, text, etc...) You can use Lists to establish the available options when specifying an Extended Data item or when configuring an Extended Data Template.

The system comes with several Global (pre-defined) Lists. Global Lists cannot be modified or deleted as they come from Data Management and any changes must be made there.

You can also create your own custom Lists.

Accessing Available Lists

Choose CONFIGURE > Lists on the Workflow menu to open the Configure Lists page.

From here you can add, edit, and delete custom Lists. The Available Lists area displays all existing lists. Global Lists are indicated by a global icon:

Custom Lists that you create and manage are marked with a person icon:

You can filter this list (limit the Lists displayed) by entering a full or partial name and clicking SEARCH.

You can view the configuration for both global and custom Lists by clicking the List Name. The Configuration details are then displayed on the right side. For custom lists, the fields are open for editing.

Creating a New List

To create a List:

  1. Click Create List. This displays empty configuration fields on the right.

  2. Enter a Name and select a Type. Type specifies the kind of data the list will hold (Integer, Text, date & Time, yes/No, etc...).

  3. Use the Active check box to select whether or not the List will be available in the drop down menu when you are working with an Extended Data template. If Active is not checked the List will not be available.

  4. Enter data by specifying a Name and Value.

    Both fields are required, although typically Name and Value are the same. Name is what is presented in the Extended Data drop down when users select a value. The Value field is provided to support applications where you are with a third party or integrating with an external system and, for example, the system requires an ID rather than text.

  5. Use +ADD to add as many rows as needed.

Deleting a User-Defined List

To delete a User-Defined List , hover over the last column of that group's name and click the remove button RedXRemoveButton.

Note

You cannot delete a custom List if it is currently deployed in a Workflow.
