Adding New Checking/Savings (ACH) Accounts

A checking or savings account can be added to the customer’s account information if they would like their payments to be deducted directly from their checking or savings account. Your permission profile must have edit permissions enabled in order to add a new bank account.

To add a new checking or savings account:

  1. On the E-Pay Accounts window, right-click and select New > Bank Account. This displays the New Bank Account window.

  2. Enter the account and address information on the respective tabs as described below:

    Account Information tab

    Bank Account Type

    Type of ACH Bank Account (Checking or Savings).

    ACHLOA on File

    Select this check box if the Automated Clearing House Letter of Authorization has been received.

    If checked, the ACHLOA date is automatically populated with the current date.

    ACHLOA Filing Date

    Filing date of the ACHLOA.

    Note

    The ACHLOA filing date cannot be entered until the ACHLOA on File check box has been checked.

    ABA Routing Number

    Nine-digit ABA routing number.

    Account Number

    Customer’s bank account number.

    Note

    Depending on your permissions, this field may be masked.

    Bank Name

    Customer’s bank name.

    Start Date

    First date the system can use this bank account for transactions.

    End Date

    Last date the system can use this bank account for transactions.

    Account Description

    Select recurring or non-recurring from the drop-down list.

    Recurring Start Date

    Enter the date the system is to start using this account on a recurring basis (or select it from the drop-down list). Available only if the Account Description is "Recurring."

    Recurring End Date

    Enter the date the system is to stop using this account on a recurring basis (or select it from the drop-down list). Available only if the Account Description is "Recurring."

    Use 5 Digit Zip

    If checked only the first five digits of the customer's zip code are sent to the payment vendor. This option prevents rejection of a transaction if the associated bank cannot handle nine-digit Zip codes.

    Authorization Type

    Select "Customer is on the phone." The Save button changes to Next to display the Bank Account authorization script after completing the account information. After getting approval from the customer, click Agree on the script window to add the new E-Pay account. If the customer does not agree, click Disagree.

    OR

    Select "Customer is present" from the list.

    Driver License Number

    Enter the customer's Driver License Number, if required.

    Note

    For personal accounts, driver license number and state are displayed. For business accounts, FEIN replaces both fields. FEIN is pre-populated if entered on the account. If blank, it must be entered on the Edit Customer screen. FEIN is disabled on the E-Pay screen.

    Driver License State

    Enter the state abbreviation on the license, if required.

    Note

    For personal accounts, driver license number and state are displayed. For business accounts, FEIN replaces both fields. FEIN is pre-populated if entered on the account. If blank, it must be entered on the Edit Customer screen. FEIN is disabled on the E-Pay screen.

    Address Information tab

    Contact

    If the customer’s billing information is already in the system, select a contact from this drop-down. The remaining address fields are populated for you.

    Contact Type

    Type of contact associated with this record.

    First Name

    Customer’s first name.

    Middle Initial

    Customer’s middle initial.

    Last Name

    Customer’s last name.

    Street 1

    Customer’s primary address.

    Street 2

    Supplemental address information used for suite or apartment numbers, or other information that won’t fit in the Street 1 field.

    Street 3

    Additional address information, if applicable.

    City/State/Zip

    Customer’s city, state, and zip code.

    Country

    Customer’s country.

    Company

    The customer’s company name, if applicable.

  3. Click Save. This adds the new Bank (checking or savings) account to the list.
