Uploading Documents

Uploading a document makes it available in IDI's Document Storage system where it can be used by other IDI web applications, as well as IDI Desktop Client.

To upload a document:

  1. Click UPLOAD on the Document Storage menu to display the Upload page.

    To select a file to upload you can either:

    • Drag the file (for example, from your desktop) to the box labeled Drag and drop a file.

    • Click Browse for a file to open the Windows Open File dialog. Use the dialog to find and select the file, and then click Open.

    In either case, selecting a file displays a dialog with Document Properties that you may need to define (if the defaults don't meet your requirements).

    If you select the wrong document you can clear the selection by clicking the red X on the document.

  2. Review the Document Properties and edit as needed:

    • Document Name - This defaults to the file name. Change as needed.

    • Category - Categories may be used to group related documents to facilitate searching and viewing document lists. This drop-down is populated based on the Categories you have set up (see . Category defaults to Uncategorized.

      Managing Document Categories

      As an option, users having the Document Storage Admin role can create and manage the document categories. These categories provide a way to organize related documents and filter document lists to present only those documents belonging to a selected category. This is done via Manage Categories page.

      Note

      Documents default to Uncategorized when uploading unless a different category is selected. Uncategorized is the only option until you create other user-defined categories.

      To Manage Document Categories, choose MANAGE > Categories from the Document Storage menu bar.

      Initially there are no categories defined. If one or more categories have been created, selecting a category from the list on the left displays the category definition on the right. From here you can edit or delete the selected category.

      To create a new category, click NEW. Then enter the category definition.

      New categories are created as non-confidential by default. Use the Confidential check box to toggle this setting as needed. Marking a category as confidential will automatically set any document uploaded with that category as confidential. Users cannot override this when uploading.

      Non-confidential categories default a document as non-confidential when uploading. Trusted users have the ability to override this and upload a document as confidential into a non-confidential category.

    • Notes - This is an optional text field for adding any information that may be applicable for the document. It defaults to blank (no text) and may be left blank if you do not require a note for this document.

    • Mark as Confidential - Whether or not a document is marked as Confidential determines whether or not users can upload and or view the document (see Setup). This defaults to unchecked (non-confidential) as indicated by the red unlocked icon. Check this box to mark as confidential (green locked icon).

  3. When you're finished with the Document Properties, click UPLOAD.

    You'll see a progress bar as the upload is processing. When the upload is finished, you'll see a green Upload Complete message.

    The message provides links for:

    OR

    • initiating another upload. Clicking this link displays the Windows File Open dialog for selecting another file to upload. You can also drag and drop the file (drop it over the file you just uploaded).

    Unsuccessful uploads result in an error message (red).
