Invoice Form

The invoice form is shown below. Messages as applicable are presented in the bottom pane.

The upper pane provides the following information:

The balance forwarded from the previous invoice:

The first few rows near the top of the invoice indicate the balance forwarded due to previous charges and adjustments.

The first row indicates the previous amount due from the last invoice. The rows below Previous Amount Due indicate the sum of all payments and adjustments that have been posted to the account since the previous invoice was created, up to the date this invoice was created.

The Balance Forward = the resulting amount after payments and adjustments have been applied to the Previous Amount Due.

An itemized list of new charges

This shows new charges as:

  • Usage Total

  • Itemized features listed by service

  • Taxes

  • Credits and dispute charges if applicable

    Catalog items and usage are listed with a green check mark icoGreenCheck after the amount if it is a regular charge. A yellow check mark icoYellowCheck means that the line item is in dispute. A red X UG template for Help denotes a credit on that line item.

    The Total New Charges row indicates amount of all new charges, including call (usage) charges, taxes, and other recurring and non-recurring charges that have been applied to the customer account since the last invoice.

Total amount due and due date

The Total Amount Due = Balance Forward + Total New Charges. If the customer has a credit balance (more payments and credits than charges and debits) the number in this field is displayed inside parentheses.

The Due Date indicates the date by which the invoice must be paid without being subject to late payment fees.

A list of invoice messages if applicable

Invoice messages are displayed at the bottom of the Invoice window. Message entries can contain multiple lines on an invoice if more than one entry was made for that billing period.

If any part of a bill period falls between the Start Date and End Date of the message, the message appears on the invoice(s) of the associated bill period(s).

Note

Invoice inserts selected on the customer account override inserts selected for the Invoice Format in Administration Console.

You can also view invoice messages from the Customer form. From the menu bar select View > Invoice Messages. This displays the Invoice Message window.

Dispute a selected item

To open a dispute:

  1. Open the invoice from either the Customer window Summary tab Last Invoice section in the lower right part, or the Balances tab Account Balances view. You can dispute items that have a green check mark displayed next to them.

  2. Right-click on the disputed item and select Dispute. This opens the Dispute window.

    At this point you may use the Dispute window to enter specific information regarding the dispute, or you can simply save the dispute and enter details later.

Fill in Details Later

To save the dispute now and defer entering details until later, click Save twice. This closes the Dispute window. You can continue with the dispute at any time using the Edit function from the Disputes list.

Fill in Details Now

If you want to enter details now, you may edit the default description, adjust the amount to be disputed up to the total cost of the item, you may credit the customer's account (this can be reversed if necessary), and make a journal entries and/or open a follow-up related to the dispute. View previous invoices

From the invoice window, select an invoice number from the drop-down list located in the top left corner. This displays the selected invoice.
