Setting Up Message and Notification Templates

Templates help produce consistent messages or notifications and reduce the time it takes to send common communications. Templates consist of fixed text and images, and Smart Data placeholders which are populated by the selected template on sending an email.

To access the Template Configuration page, in the main menu for Communications, select CONFIGURE > Templates.

The Template Configuration page lists existing templates on the left and provides a search tool to help you find a specific template.

From here you can:

  • view and edit existing templates

  • search for templates

  • create new templates

  • delete templates

Creating a New Template

To create a new Template, click +NEW. This displays the Create Template dialog where you enter Template Name (required field), Type (required field), and Description.

After entering this information, upon clicking CREATE, the system displays the newly created template in the list on the left side of page. To continue with the new template configuration, click EDIT. This displays the Template Editor on the right.

Working with an Existing Template

When you select an existing template on the left, the EDIT and DELETE buttons on the right let you make changes or delete the template. (Show Picture)

The Template Editor provides conventional tools for rich text formatting, inserting images, and inserting Smart Data.

Image size is limited to less than 1MB.

The Enabled checkbox lets you specify whether or not the template will be available for selection in other web modules. Checking Enabled makes the template available for selection. When unchecked, the template will not be available for use in other web modules.

In addition to standard formatting options, templates with a type of Tickets will have an option to insert smart data. Clicking Insert Smart Data displays a drop-down menu with properties based on template type, as well as an option to configure a Data Look Up.

Some Smart Data types require you to specify formatting options:

  • Date/time (default format = MM/DD/YYYY, example: 02/21/2017)

  • Integers (default format = no decimals, ‘-‘ for negative, no separator for 1000, example: -1234)

  • Boolean (default format = can/cannot)

    When a property is selected, the system will insert the syntax needed to retrieve the corresponding data. If the field type is one that supports format selection, a pop up dialog will display with formatting options.

    With Data Look Ups, the system inserts the syntax to retrieve the corresponding data. Selecting Data Lookup from the Insert Smart data drop down displays the Select Additional Fields dialog.

    As an alternative to using the GUI, if you know the syntax you can type the smart data directly into template.

Considerations for Bill Notifications

You can create different templates for special formatting based on Autopay status, Market, and Account Type. All templates you create for this purpose must use the new Bill Notification Termplate type provided with this release.UG template for Help

Note

Data look-ups are disabled and are are not available for Bill Notifications due to performance implications when generating/sending a large amount of emails at once.

The Bill Notification template type has a large amount of Smart Data available that is specific to an invoice.
