The Communications module supports sending emails configured in Triggers and Workflow Definitions. It also supports sending emails from a Workflow Task and Workflow Instances.

Communication Templates
Two template types are available – Workflow Template and Workflow Task Template.
The Workflow Template provides the following Smart Data to assist with configuration:
Baseline Completion Date
Completion Date
Coordinator
Name
Requested Due Date
Start Date
Unique ID
Workflow Instance ID
Workflow Status ID
Workflow Type ID
The Workflow Task Template provides the following Smart Data to assist with configuration:
Action ID

Data Look Up functionality is also available to assist with template configuration.
Sending an Email from a Workflow Instance
You can send a new email by navigating to the Activity Center located on the Workflow Overview page. The Activity Center now contains a Communications tab.
From the Communications tab, click on the New icon: 


This displays a dialog that supports sending an email with or without a template. The default is to not use a template.

The Select Template list contains all enabled Workflow Templates. On selecting a template, you can preview it to ensure the Smart Data replacements are as expected.
After selecting a template, you can provide the email distribution list. Clicking on the To field –
– displays the Company Address book. When sending an email from a Workflow Instance, the system does not support SmartData in the From, To, CC, or BCC fields.
You can Reply, Reply All and Forward an email by clicking on the vertical ellipsis displayed with a message in the Activity Center.

All messages sent from Activity Center are automatically linked to the Workflow Instance.
Sending an Email from a Task
You can send emails from the My Tasks and Task Detail pages.
To send an email from the My Tasks page, expand the task and click on the email icon (
).

To send an email from the Task Details page, click on the email icon.

Viewing Communications
The Communications tab on the Workflow Overview page lets you view all emails sent from Workflow Instances and Tasks.

Clicking on a message takes you to the Communications page. Initially, the page will be filtered to show only the message that was selected on the Activity Center. You can click Show all to see all messages.
