Working with Contracts

Contract specifications are created and maintained in Desktop Client Product Catalog and are assigned to a customer (at the account level) or service number. Each Contract is made up of contract terms, which, in turn, are made up of penalties, and, for minimum or maximum guarantee term types, there are term details.

  • Term details are certain types of usage or particular products, which contribute toward meeting the terms of the contract.

  • Penalties are charges that are assessed if the customer does not meet the terms of the contract.

    You can view and manage contracts via the Services and Features page. For account-level contracts, expand the Account Features. For service-level contracts, select or expand the applicable service number. The available information and functionality is similar for account- and service-level contracts. Below describes how to manage service-level contacts.

Contract Information on Service Details

When you select a service number with an active contract the right pane will show the contract with start, end, and renewable dates. The renewable date depends on whether a renewal blackout period was configured for the contact in Desktop Client Product Catalog.

  • If the contract has an associated service agreement, a link is provided in the far right column to open the PDF. See Viewing Service Agreements.

  • Clicking the Term Association information icon lets you view and adjust the features associated to the contract.

    Choosing Association Type:

    Clicking the edit button enables the Association Type drop-down menu where you can choose to associate (include) all listed features, or choose to include or exclude on a selective basis.

Note

When you expand service number and select the contract you can see additional details. Term Commitment information is collapsed by default. This shows the Term Commitments expanded.

From the details view you can click the Edit to make certain contract details editable.

Start Date

Date the product is to be connected to the customer account. The system enters the current date by default. You can modify this date.

End Date

End date of the contract based on the contract terms. You can modify this date. If a Contract Term has been overridden, this date will be affected.

Billing Status

Billing Status of the product - Billing or Not Billing.

Note

Changing Billing Status to Not Billing does not disconnect the product.

Auto-Renew

Checked: The contract is renewed by a scheduled job on the day the contract expires.

Unchecked: The contract is not automatically renewed.

Renewing a Contract

Note

As noted above, you can see when a contract is due for renewal when you view the contract information on the service details. Also, the renewal history is available when you click the information icon on the service details. To ensure contracts are renewed before they're due to expire, click the Auto-Renew option on the contract details (when you select the contract from the expanded service view. A scheduled job runs daily to renew contracts marked for auto-renew on their renewal date. You can also manually renew a contract via Desktop Client Customer Management.

Early Termination Fee Estimator

The Account Summary Service Summary view (available when you select View > Service Summary on the Account Summary page) provides an Early Termination Fee (ETF) calculator for contracts with a term commitment. The calculator can be used to determine the ETF for contracts with a flat fee penalty, a prorated fee penalty, or a combination of both.

Click on the calendar and pick the current date or a future date for the calculation. Estimated ETF will be displayed when the penalty can be estimated.

Notes:

  • If a contract with a Term Commitment has an MRC Multiplier fee, the calculator will not be displayed.

  • If a contract has any type of commitment other than a Term Commitment, the calculator will not be displayed.

  • If a contract has multiple terms, the Estimated ETF applies the Term commitment only.
