    Here's a quick explanation of Orders and Billing Orders in the Orders web module. An Order is what you create, edit and manage in the Orders web module to add/disconnect/modify Services and Features on an account. A Billing Order is what actually updates the Services and Features on the customer account in CostGuard such that the account can be billed accordingly.

    After you submit an Order in the Orders web module, there are steps to be completed before the Order can be transitioned to a Billing Order to update the account. For Wireless providers, this may be as simple as running the applicable provisioning commands after the Order is submitted. Wireline providers generally require a more involved process that may include manual steps, such as installing equipment. In either case, whether the process is complex or relatively simple, once all the steps are completed, the Workflow Billing Status Update Action is run to create the Billing Order.

    Prior to running this action, you can use the Orders web module to edit, submit, place on-hold, resume, or cancel an Order, depending on Order Status. After running this action, the Order Status is set to Complete. At that point, when the Order becomes a Billing Order, you can no longer manage the Order via the Orders web module. However, you can view the Billing Order via the Orders web module OmniSearch.

    Transaction Statuses and the respective actions allowed in those States are as follows:

      Note

      If an Order is in assembling status for 30 days after creation, it is automatically removed from the system. To avoid this, update the Order's status to OnHold.

    Note

    Orders submitted via CostGuard Client Order wizard or POS are essentially Billing Orders, although this term is not used in the CostGuard Client. There is no step to convert Orders to Billing Orders. However, Orders that are submitted via the Orders web module, and then converted to Billing Orders are viewable via the CostGuard Client.

  • Cart (assembly phase) Sale (after tendering) searches are only available when Starting Block functionality is enabled.

    Starting Block functionality

    Configurable Starting Blocks facilitate order entry. Starting block configuration and maintenance is done in the Product Catalog web module. Leveraging starting block configuration, you can initiate either a front office sale transaction (remote customer presence) or back office order transaction (no customer presence) in the Customer Care and/or Orders web modules. The type of transaction you initiate drives order or sale-oriented functionality during the transaction assembly, review (if applicable) and summary.

    When you configure a starting block, you can also define parameters to streamline the order/sale process by setting default values and/or limiting options for selection during assembly. For sale transactions, you can assemble, review, and finalize a remote sale containing billing items that can be assigned to either an account or to any type of service.

  • When starting block and direct invoicing functionality is enabled, you can also search on direct invoices.

As mentioned above, the Omnisearch defaults to Order search. The Orders OmniSearch supports several search methods.

  • Enter Account Number, or Customer Name or Order ID in the text field

  • Select a recent or bookmarked Order (if available)

    The Recent Orders list populates as you search for and open Orders. The list defaults to a maximum of five Orders, but you can adjust this limit as needed. Click the gear icon to display a form for entering the new limit (Recent Orders to Save).

    You can Bookmark a Recent Order by clicking the Bookmark icon (star).

    This moves the Order from the Recent list to the Bookmarked list and marks it with a solid yellow star.

    To un-bookmark an Order, click the solid yellow Bookmark icon in the Bookmarked list. Un-bookmarking moves the Order to the Recent Orders list.

    Clicking Clear clears all recent Orders from the list.

    In addition to bookmarking Recent Orders, you can also bookmark Orders via the Order Summary and Order Detail pages.

    Note:

    You can also use/manage Bookmarked and Recent Orders via the Bookmark option on the Applications menu.

  • Click More Options to search on To/From dates, Order Type, State and/or Transaction Type

    If one Order matches the search criteria, you land on that Order's Summary page.

    For any search resulting in multiple items, you get a list from which to choose. From here you can:

  • Go to the Summary page for an Order by clicking the associated link in the Order column.

  • Go to the Details page for an Order by hovering over the far right column, and then clicking the Order Details icon.

  • Open the corresponding customer account in Customer Care by clicking the link in the Account Number column. Note that Care is opened in a separate tab, so you can easily return to the Order Search Results

    For completed orders, the Completed indicator in the State column provides a link to the associated Workflow.

No Sale Search

Note

The Omni Search bar lets you search on location name, register name, receipt number, or no sale transaction ID. Location Name and Register Name can use wild cards and will return partial matches. Receipt Number and No Sale ID return exact matches only. More Options lets you search by date range, user who created the transaction, no sale type, receipt number, state, location, register, and/or register number, with all text-entered fields using a wildcard search.

Below shows the result of a search on Skim Cash no sale type.

Note

The No Sale Search will return only those transactions from locations where the current user (doing the search) is authorized. Also, unless that user has the Manage Registers permission, the search will only return No Sale transactions that have CreateUser matching the user's name.

Clicking a link in the left side No Sale column displays details for the sale. Skim Cash and Float details are shown below.

Direct Invoice Search

When direct invoicing is enabled, the OmniSearch page in Orders provides an option for searching on Direct Invoicing transactions.

Under More Options, the Direct Invoice search lets you search by receipt number.

Considerations for Tendered Transactions

For tendered transactions you can search by order, cart or sale (depending on how you set up your starting blocks). For orders, there is a possibility the order has been tendered but not yet submitted. This condition will be indicated by an orange icon in the first (left) column. The icon will turn blue once the order has been submitted.

Note

Tendered transactions CANNOT be deleted.
