Managing Order Scenarios - Modify/Re-order Workflow Configurations

Access to this setup requires the Admin Role or Manage Configurations permission.

This setup is available via the Orders menu bar. Click MANAGE > Order Scenarios.

On this page you can modify and re-order Workflow configurations the system uses to process an order. When you submit an order, the system evaluates the configurations (below the Processing Order heading), looking for one to use that most closely matches the order and/or service type.

Processing Order

Workflows are listed by the order in which they are processed. If you need to change this order, click REORDER, then click and drag a Move icon (btMoveVerticalBars) to move a Workflow Definition up or down in the list.

Adding an Order Scenario

Click NEW to add a new scenario for order-service combinations. This displays the Workflow Configuration fields on the right side of the page.

Field Name

Definition / Action

Name

Enter a descriptive name for the Configuration. This is what is displayed when an order is viewed in Workflow.

Definition

Select a definition from the drop-down menu. (Definitions are created in the Workflow Module.) The Definition can have the same name as the Configuration.

Coordinator

  • Default to Order Entry User - Select this radio button to have the same person who created the order be responsible for ensuring that all steps/tasks are completed.

  • Default to Configured User - Select this radio button to enter the user who will monitor the workflow (not necessarily the person who will be responsible for completion of the steps).

Order Types

  • All Order Types - Select this radio button to have this configuration apply to every order type.

  • Select Order Types - Select this radio button to view the drop-down menu and select which order types the configuration will apply to.

    Note

    The Selected Order Types display below the Select field with a delete symbol.

Service Types

  • All Service Types - Select this radio button to have this configuration apply to every service type.

  • Select Service Types - Select this radio button to view the drop-down menuand select which service types the configuration will apply to.

Working with Existing Order Scenarios

Select an Order Scenario from the list on the left. This displays the workflow configuration details on the right side of the page with additional buttons to edit or delete the scenario.
